Background
- 1. The Banquet operates in a space of One Banquet Hall and Two Lawns which it lets out for social events, gatherings, weddings and other functions/events.
- 2. The Banquet agrees to let out the rented space within the Banquet on the Terms and Conditions set out under Schedule ‘A’ to this Agreement.
SCHEDULE ‘A’
TERMS AND CONDITIONS
1. Confirmation and Deposit for Social/Corporate Functions:
- a. At the time of confirmation of the booking the customer needs to deposit a non-refundable advance of 30% of the total billing (including taxes) as per rates specified in Schedule ‘B’.
- b. Balance 70% payment of the total billing (including taxes) will be required to be deposited by the customer 03 months prior to the event date as specified in Schedule ‘B’ (Event Date).
- The Banquet reserves the right to cancel any tentative booking, which is not confirmed through the payment of the full deposit of amount as per the requirements under the section of Schedule ‘A’.
- d. Should there be any extra billing during the event, the customer will settle the extra bill on the conclusion of the event prior to vacating the Banquet.
2. Cancellation Policy:
- a. The advance received for the event is non-transferable and non- refundable. Cancellation of any Event must be advised to the Banquet in writing only. In the event of Function/ Event being cancelled, the entire advance received will be forfeited and neither redeemed nor refunded under any circumstances except for the Security Deposit.
- b. However, in the circumstances of the Event being cancelled on account of a Force Majeure situation, the Banquet will adjust, not refund the advance deposit against any other future bookings that the customer organizes within next one year from the date of customer’s scheduled event at the Banquet. The new booking will be subject to availability.
*Force Majeure situation is defined as an event due to any cause or causes beyond customer’s reasonable control, including but not limited to death in the family owing to which the event has to be postponed, act of foreign or domestic government whether by law, order, legislation, decree, rule, regulations or otherwise, revolution, civil disturbances, breach of peace, declared or undeclared war, act of interference or action by Civil/ Military authorities owing to which the event may not be carried out or any other situation as agreed upon by the Banquet as being within this category.
3. Payment for Banquet Rental:
The customer agrees to pay to the Banquet the charges as specified under Schedule ‘B’ to this agreement and the same shall be subject to GST (Goods and Service Tax) as prescribed by the government regulation. The current GST rate is 18% and the same shall be payable on the Banquet space and rental charges as well as on room charges.
4. Security Deposit:
A refundable security deposit of Rs. 25,000/- (Rupees Twenty Five Thousand Only) will be paid by the customer during the time of booking the banquet to cater for any unforeseen circumstances and breakages. The amount will be returned back to the customer on termination of the Event after adjustment of the entire billing.
5. Usage:
- a. The articles/furniture and fixture in the Banquet (as per the list on the rate sheet provided by the Banquet) is available to be used properly with all care and caution and to be handed over to the caretaker/Manager in proper condition before vacating the space. Any damages to the property or furniture/fixture shall be chargeable to the customer.
- b. Any extra items/articles required (not included in the rate sheet provided by the Banquet) if any, shall be made available on request made 15 days prior to the scheduled date of Event subject to availability against extra payment for any such extra requirement.
- c. Use of Coal, Wood, Gas (LPG, CNG, PNG and any other flammable Gas),
Electric Heater, etc. inside the Banquet Area (Excluding Kitchen) and
Rooms is not permissible.
- d. Consumption of Paan, Guthka or any other Tobacco products of any form is
prohibited inside Banquet Hall and Rooms.
- e. Smoking is strictly prohibited inside the Banquet Hall and Rooms.
- f. Illegal possession and consumption of Narcotic Drugs and Psychotropic
Substances (Cannabis, Opium, Cocaine, Morphine, Diacetyl-morphine or
any other Narcotic Drugs or Psychotropic substances as may be specified in
this behalf by the Central Government by notification in Official Gazette)
are strictly prohibited inside the premises of the Banquet. It is a punishable
offence under THE NARCOTIC DRUGS & PSYCHOTROPIC
SUBSTANCES ACT, 1985.
- g. Firearms, Ammunition, Explosives, Air Arms, PCP Guns, Air soft Guns,
Blank Guns of any kind are strictly prohibited inside the premises of the
Banquet. It is a punishable offence under THE ARMS ACT, 1959, THE
ARMS (AMMENDMENT) ACT, 2019 and EXPLOSIVES ACT, 1884.
- h. No hazardous substance to be used, stored, generated, released or disposed
off on or in the premises. Banquet management will have the right to stop
such person or persons carrying unauthorized items/materials inside the
Banquet premises.
- i. CELEBRATORY FIRING is strictly prohibited inside the Banquet
premises and it is a punishable offence under section 25(9) of the ARMS
ACT, 1959.
- j. All requirements for the Banquet function, seating arrangements,
requirement of audio/visual equipment should be finalized at least 15 days
prior to the event itself is booked at a shorter notice.
- k. Generator Backup will be provided for Banquet Lighting/Air-conditioner,
Lights and Decor. Extra Charge payable as per rate sheet.
6.Safety of Assets & Security:
- a. The Banquet will not accept any responsibility for damage or loss of the
customer or its guest’s belongings of any nature whatsoever
lost/misplaced/theft, left in the Banquet prior to, during or after the event.
- b. Any store/storage place created by the customer will be guarded by their
own persons. The Banquet does not hold any responsibility for the same.
- c. The Banquet will not be responsible for the loss or otherwise missing
valuable or other items that are displayed or are/were in possession of the
customer or inside rooms.
- d. It is customer/host who is in a better position to identify any uninvited
person or otherwise suspicious person has entered the Banquet premises.
The Host/Customer should bring to the notice/knowledge of the Banquet
security staff/management about any such person so that remedial action can
be initiated. The Customer/Host shall initiate the action.
- e. The responsibility of loss/theft of any personal belongings in the form of
bags, purses, wallets, mobile phones, gifts, articles, cash packets, envelopes
containing cash, jewellery etc. will not be implicated upon the Banquet.
- f. The Banquet is similarly not liable for any missing materials or people
(including children) of the Customer/Host or any of his/its guests.
- g. It is clarified that Banquet security is meant for the safety and security of the
assets of the Banquet and the scope of responsibility cannot and will not be
accepted to extend to the losses of the above-mentioned nature.
- h. The Banquet security will however, shall accompany with customer/guest to
lodge an FIR/Complaint as desired in the event of any loss or theft.
- i. Vehicle Parking will be at owner’s risk in all aspects.
- j. The Banquet reserves the right of admission and can ask any person/s who
is/are not properly attired or who misbehaves, to leave the Banquet premises
- k. The Banquet does not take any liability/risk of any injury or death of the
organizer, their guests of and Third Party/personnel hired by the
Customer/Host.
7. The Banquet does not permit:
- a. Beef & Pork meat in any form within the property.
- b. Customers to use nails, scotch tapes or pins to put up posters or banners on
the panels, walls, pillars or the doors of the Banquet Hall and the parts of the
structures of the premises.
- c. Locking/Blocking of the fire exit doors with their equipment’s.
- d. Sawing or painting on walls, pillars, panels of any kind.
- e. Moving of heavy equipment’s in the Banquet Hall/Functions rooms without
proper protection for the floors.

- f. Tampering or removal of Banquet’s electrical or power installation.
- g. The use of flammable and explosive materials for visual display.
- h. Dumping of construction debris of any kind in the Banquet Premises.
8. Additionally:
- a. All display materials like Welcome Signage, banner etc. within the Banquet
premises requires the prior approval of the Banquet management.
- b. Backdrop, if any should be self-supporting and not on the wall of the
Banquet.
- c. Location of any customer’s signage must be confined within the function
room premises.
- d. For exhibitions and big setups, dimensional drawings/floor plan, showing
the layout of the booths or stage/ramp, console, etc. must be submitted to the
Banquet for approval before any work can be carried out.
- e. Playing loud music is not allowed in Banquet Hall beyond the stipulated
timings as notified by the Government.
- f. The customer is liable for any damage caused to the Banquet property or
equipment by the customer or their guest attending the function/event or any

rd party (empaneled or non-empaneled) / agencies which the customer hire
for their event, décor, catering or any other services inside the Banquet
premises.
- g. The Banquet reserves the right to recover cost of any and all damages caused
in the process of violation of any of the above mentioned from the customer
booking the Banquet for the event.
- h. The people involved in the movement of the material and erecting the setup
for the event from the customer’s end, need to maintain discipline while in
the Banquet premises. All setups have to happen under the supervision of the
Banquet staff.
9. Audio, Visual, Electrical, Event and Floral Décor and Installations:
- a. All Event decoration, electrical, floral, tenting, décor or any event activities
in the Banquet is to be organized through the list of Empaneled Event
Management Agency provided by the Banquet only.
- b. All costs towards such engagement shall depend on the requirements of the
customer/organizer shall be payable directly to the Event Management
Agency.
- c. Engaging any outside person/agency for event tenting, floral décor and
electrical decoration ad decorative works is not permissible and the same
shall only be done by the enlisted person/agency by the Banquet against a
charge – payable extra.
10. Entertainment Policy and Government Permissions – Liquor, Music and Other Permissions:
- a. Depending upon the nature of your Event, the customer/organizer will need
to procure all necessary Government permissions at client’s own cost. The
Banquet will not be liable for the procurement of licenses required for any
event (or be held responsible for non-procurement of the same by the
customer/organizer).
- b. Necessary Government permissions will be procured by the
customer/host/organizers whenever required for any purpose E.g., Fashion
Shows, DJ, Live Performances, product launches and ceremonies etc. from
the appropriated bodies.
- c. The copies of all relevant licenses and documents should be submitted to the
Banquet office at least 48 hours prior to the Event failing which the Banquet
reserves the right to terminate the contract or cancel the event treating as if
cancellation by the customer. NO REFUND WILL BE MADE IN SUCH
CASES BY THE BANQUET TO THE CUSTOMER.
- d. Liquor will be served only within the timings specified by the State Excise
Laws, furthermore, Alcoholic Beverages will not be served on days notified
by the appropriate authorities as DRY. In case of service of Alcoholic
Beverages, the customer needs to obtain a temporary liquor license as per
State Excise Regulations. (At customer’s own cost as prescribed by the State
Excise Department). In case no license is submitted by the
customer/client/organizer, an undertaking in the Banquet’s prescribed format
has to be signed by the customer for NO USE OF ALCOHOL during the
event, before the event and no liquor may be served during the event within
the Banquet premises.
- e. The Banquet does not permit or encourage sale or use of personal/group
consumption of any drug or prohibited substances at any time within the
Banquet premises.
- NOTE: There should be only one person designated, who will co-ordinate or instruct the Banquet staff regarding any changes or
correction an or ongoing event so as to avoid any confusion which can
arise out of different instructions from different people.
11. Room Booking Policy:
- a. Rate Policy:
The room booking shall be subject to availability. The room Tariff shall be
provided to the customer and the agreed rate shall be included under
Schedule B to this agreement. All charges are subject to tax as per
Government norms. The current applicable taxes are 18% GST(Goods and
Services Tax) on published tariff and are subject to change as per
Government policies.
- b. Arrival and Departure Policy:
- Check In : 1200 Hours (IST)
- Check Out : 0600 Hours (IST)
- Early Check - In and Late Check Out is subject to availability.
- Arrival before 0600 Hours, Full day retention will be charged as room
is blocked from previous day and is subject to availability.
- Arrival between 0600 Hours – 1200 Hours (IST), half day retention
will be charged and is subject to availability.
- Departure between 0600 Hours – 1200 Hours (IST), Half day
retention will be charged as is subject to availability.
- Departure after 1200 Hours (IST), Full day retention will be charged
and is subject to availability.
- c. Guarantee Policy:
Booking is guaranteed only against full payment in advance. Payment is accepted in Cash, Cheque (subject to realization), Bank Account Transfer, Unified Payment Interface (UPI), Debit Card, Credit Card.
- d. Cancellation Policy:
- Same as Point 02 of Cancellation Policy for Banquet Hall.
- All No-shows will attract 100% retention charges.
- e. Extra Persons:
- Child below 07 years complimentary (Without Bed).
- Child above 07 years chargeable (With folding Bed).
Note: The Government notification requires guests to present original proof
of identity at the time of Check-in. Passport, Driving License, Voter Id Card,
Aadhar Card or Bank Passbook with photograph to identify himself/herself at
the time of Check-in (PAN Card not valid).
In case of direct payment, if the total billing is more than INR 49,999/- but
restricted to INR 1,99,999/- (as per Sec 269ST of Income Tax Act), the Banquet will ask for a photocopy of the PAN Card details (Indian Nationals)
or Passport Copy (Foreign National) of the Customer/Guest.
Taxes are subject to change in Government policies so any change in the tax
structure will be levied later.
12. Payments and Liability of outstanding from other parties:
The customer shall take care of and remain responsible for all its payments and
invoicing with respect to services from the Event Management Agency and other

rd parties (including their employees, contractors and suppliers) at its own cost.
The Banquet will not be responsible to the Event Management Agency or any 3rd
party which may hold any claim for non-payments of services or materials
supplied to the customer rendered at the Banquet. The customer shall hold Banquet
harmless the Banquet from any and all claims made against the Banquet owing to
any breach of obligation of the customer under this agreement. Notwithstanding
the above, the Banquet shall not be liable to the customer for any indirect or
consequential losses (including where the customer cancels or terminates an Event)
and that the total aggregate liability of the Banquet to the customer for all claims
arising under and out of this Agreement shall not exceed INR 1000/-.
13. Confidentiality:
Both parties shall ensure that the contents of the Agreement (most importantly
pricing details) and all discussions and dealings under the same, including those
with the Event Management Agency, shall be maintained in a confidential matter.
14. Governing Law:
Thus, Agreement shall be Governed by the laws of the India and the exclusive
jurisdiction to try all matters hereunder will be at Courts of Ranchi.
